Awaiting customer decision

THE HIDDEN COST OF “THE WAY WE’VE ALWAYS DONE IT”

The parts counter should not be a waiting room.

A technician leaves the bay. A handwritten request joins the pile. Parts gets interrupted. Service waits for an update. The customer waits for a price.

One small request creates lost time across three departments and nobody has a complete view of what happens next.

One request. Three departments. Zero shared visibility.
Walking Waiting Re-explaining Searching Following up
1 TECH LEAVES BAY
2 WAITS AT COUNTER
3 HANDWRITTEN REQUEST
4 SERVICE CHASES UPDATE
5 CUSTOMER APPROVAL

LOST BAY TIME

Technicians stop producing.

Every walk to the counter, explanation, wait, and follow-up takes paid time away from the repair order.

COUNTER CONGESTION

Parts loses focus.

Walk-ups and verbal requests interrupt quoting, make priorities harder to manage, and create avoidable clarification work.

APPROVAL DELAYS

Repair orders stall.

When quotes and updates move through paper, memory, and hallway conversations, Service cannot move the customer decision forward quickly.

The paper may be cheap. The time around it is not.

Minutes lost per request × requests per day × working days = hours removed from productive work

ONE WORKFLOW. FOUR CLEAR HANDOFFS.

From parts request to approved quote, without the counter traffic.

Partsflow gives every department the information it needs, shows who owns the next step, and keeps the repair moving.

STEP 1

Tech sends the request

The Technician submits the unit, repair order, parts needed, notes, and photos directly from the bay.

UI status

Request submitted

The Technician keeps working instead of joining the counter line.

STEP 2

Parts builds the quote

Parts receives a complete request, creates the quote in the dealership’s DMS, and attaches the quote PDF to Partsflow.

UI status

Quote ready

Your DMS remains the system of record. Partsflow keeps the people around it aligned.

STEP 3

Service moves the decision

Service receives the completed quote immediately, contacts the customer, and records the approval status.

UI status

Awaiting customer approval

No paper chase. No wondering whether the quote is ready.

STEP 4

Parts takes action

Once approval is confirmed, Parts can pull stocked items or order what the repair requires.

UI status

Approved, ready to fulfill

The next action is visible, assigned, and documented.

See Partsflow in Action

Four clear handoffs. One shared source of truth.

ONE PLATFORM. A BETTER DAY FOR EVERY DEPARTMENT.

Give every team more time and fewer bottlenecks.

Partsflow does not replace the people or systems that run your dealership. It removes the friction between them.

TECHNICIANS

Turn more wrenches. Make fewer counter trips.

Technicians can send complete requests, receive updates, and stay focused on the repair in front of them.

  • Keep more paid time inside the bay.
  • Stop waiting in line for routine parts requests.
  • Check progress without leaving the job.
  • Reduce repeated explanations and follow-ups.

More productive time. Less process time.

PARTS COUNTER

Replace walk-up chaos with an organized queue.

Parts receives complete, readable requests in one place. Without trying to prioritize a crowd at the counter.

  • See new, urgent, and aging requests immediately.
  • Eliminate messy handwriting and missing job details.
  • Reduce interruptions while building quotes.
  • Keep quote files and communication attached to the request.

A visible workload is a manageable workload.

SERVICE DESK

Move customer approvals before the repair loses momentum.

Service sees when the quote is ready, what the customer needs to approve, and who owns the next action.

  • Receive quote updates as soon as Parts finishes.
  • Keep DMS quote PDFs connected to the request.
  • Record approval status for the entire team.
  • Reduce delays between diagnosis, pricing, and authorization.

Faster information creates faster decisions.
